Job Purpose:
The Customer Success Representative provides day-to-day administrative and customer support to ensure customer orders, requests, and information are processed accurately and efficiently. This position is responsible for monitoring customer portals and shared communication channels, entering and maintaining orders, providing routine order-status updates, and responding to customer questions.
This position is suited for someone who is organized, dependable, detail-oriented, and comfortable completing a high volume of computer-based and data-entry work. The Customer Success Representative works closely with Customer Success, Production, Shipping, Quality, Estimating, and other internal teams to gather information, resolve routine customer needs, and escalate more complex issues appropriately.

Essential Duties and Responsibilities:
Order Processing and Data Entry
Enter customer purchase orders accurately and promptly into the ERP system.
Review orders for required information, including part numbers, quantities, pricing, requested dates, shipping instructions, and revision levels.
Update customer orders when approved changes are received.
Maintain accurate customer, order, and part information within company systems.
Complete routine data-entry and record-maintenance assignments.
Identify missing, unclear, or conflicting information and seek clarification before processing.
Maintain organized electronic records of customer orders and related communication.
Customer Portal Monitoring
Monitor assigned customer portals, shared inboxes, and other communication channels throughout the workday.
Review and process new purchase orders, order changes, customer requests, and customer notifications.
Download and appropriately store customer documents and information.
Complete routine portal acknowledgments and updates.
Escalate urgent requests, technical questions, pricing discrepancies, quality concerns, or other non-routine matters to the appropriate team member.
Customer Communication and Support
Respond professionally and promptly to routine customer questions and requests.
Provide customers with order acknowledgments, shipment information, and order-status updates.
Research order status by reviewing company systems and coordinating with internal departments.
Communicate accurate information and confirm details when the correct response is unclear.
Maintain clear records of customer communication and follow-up commitments.
Follow open requests through completion and ensure the customer receives a final response.
Escalate complex, sensitive, or unresolved customer concerns to a Customer Success Specialist or manager.
Internal Coordination
Work with Production, Planning, Shipping, Quality, Estimating, Purchasing, and Customer Success to obtain accurate information for customers.
Communicate customer changes or requests to the appropriate internal team members.
Assist Customer Success Specialists with order administration, documentation, reporting, and follow-up activities.
Support new-part and customer onboarding activities by entering information and maintaining required records.
Participate in department meetings, training, and daily communication routines.
Follow established processes and work instructions while identifying errors or recurring issues for management review.
Provide administrative and operational support to departmental and cross-functional leaders as needed.
Qualifications:
Required
High school diploma or equivalent.
Strong attention to detail and commitment to accuracy.
Ability to enter and review data efficiently.
Clear and professional written and verbal communication skills.
Strong organizational and time-management skills.
Ability to manage multiple tasks and follow established priorities.
Basic proficiency with Microsoft Outlook, Excel, and other computer-based systems.
Willingness to learn customer requirements, manufacturing terminology, and internal processes.
Ability to ask questions, accept feedback, and escalate issues appropriately.
Ability to work effectively both independently and as part of a team.
Preferred
Two or more years of experience in customer service, order entry, administrative support, or data entry.
Experience working in a manufacturing or business-to-business environment.
Experience using an ERP system, customer portal, CRM, or order-management system.
Familiarity with purchase orders, part numbers, order acknowledgments, and shipping documentation.
